Northern Illinois University (NIU) seeks to fill the position of Assistant Director, Affirmative Action and Equal Opportunity for the Office of Academic Diversity, Equity and Inclusion (ADEI). The successful candidate will join a team of professionals dedicated to cultivating a diverse, equitable, and inclusive community that is committed to action and education. In alignment with NIU’s core values, ADEI leads the charge in establishing an equity-minded community that challenges and eliminates exclusionary systems and practices. Serving seven Academic Colleges, thirteen Divisions, and approximately 216 departments, the Associate Director is part of the Affirmative Action and Equal Opportunity (AAEO) team responsible for providing programs and services related to Affirmative Action, Equal Opportunity, and Title IX. Position Description Summary: Reporting to the Associate Director for Affirmative Action and Equal Opportunity, the Assistant Director for Affirmative Action and Equal Opportunity is required to manage and monitor the university’s Applicant Tracking System (ATS), provide guidance and direction to university departments on conducting an effective search processes for Faculty, Supportive Professional Staff (SPS), and Civil Service Staff positions, and provide expertise in the area of effective recruitment and the development of a diverse workforce in alignment with university and departmental goals. Furthermore, this position will assist in ensuring that Affirmative Action (AA) compliance and Equal Opportunity (EO) practices are maintained and adhere to university, state, and federal regulatory guidelines. Essential Duties and Responsibilities:Applicant Tracking System Management Monitors the university’s applicant tracking system (ATS) regularly to ensure all transactions and applicant data are transitioned appropriately and are maintained in accordance to university, state, and federal regulatory guidelines.Provides expert consultation regarding guidance, technical assistance, and compliance support to employees on affirmative action and ATS.Executes requisition postings by reviewing, editing, and approving position announcements for Faculty, SPS, and various Civil Service Staff positions.Develops new processes and procedures as well as revises existing features in ATS to streamline workflows and address new issues as they arise.Coordinates with Human Resource Services (HRS) and the university’s ATS vendor to solve ATS related issues, in an effort to sustain and update the system’s interface and processes as needed. Affirmative Action Recruitment Reviews Faculty, (SPS), and Civil Service AA hiring records.Works closely with university departments in developing advertisements for positions to be searched.Posts job advertisements on the HRS website and other applicable site locations and publications at the discretion of hiring departments and based on university, state, and federal regulations.Works closely with university departments to ensure job advertisements are posted timely and appropriately.Maintains records of recruitment and search efforts in university filing systems in compliance with the university’s record retention policies, and state and federal guidelines. Training and Development Conducts search committee training on the use of ATS, and best practices for AA and EO in the recruitment process.Assists the Associate Director with coaching and training university departments and staff on best practices in the search process, which include subset areas such as recruitment, diversity and inclusion, confidentiality, interview conduction, and selection/hiring.Assists Associate Director with developing and preserving running policy and procedure manual.Assists in developing policies, procedures, and tools for best practices for hiring and diversity recruitment.Answers routine and non-routine inquiries from faculty, staff, and students regarding AA and EO. Affirmative Action Compliance and Reports  Works closely with the Associate Director and Executive Director to ensure that hiring practices and processes adhere to the regulatory requirements under the laws enforced by the Office of Federal Contract Compliance Programs (OFCCP).  Assists in developing data management tools and maintaining recruitment trend and position/search audit reports and records (i.e. number of open, filled and closed opportunities, and departmental hiring activities for all Faculty, SPS, and Civil Service position vacancies).Conducts AA and EEO analyses using data obtained from the university’s ATS and campus partners (e.g. HRS, Institutional Research, Information Technology) and external constituents. Other Assists in performing other duties to further the mission and meet the operational needs of the department. Minimum Required Qualifications: Note: Credentials will be verified by a placement officer. High School Diploma, GED, or equivalentAny combination totaling two years from the following categories:work experience in equal opportunity / diversity or closely related occupational area, with duties comparable to those listed by the Equal Opportunity Officer Specification.college course work in Social Sciences, Behavioral Sciences, and Business Sciences or closely related disciplines, as measured by the following conversion table or its proportional equivalent:                                               i.     30 semester hours equals six months                                              ii.     60 semester hours or Associate’s Degree equals one year                                            iii.     90 semester hours equals two years                                            iv.     120 semester hours or Bachelor’s Degree equals three years                                              v.     Master Degree or higher equals four years Preferred Qualifications: Bachelor’s degreeDemonstrated professional work experience with handling confidential and sensitive personnel or personal data.Demonstrated professional work experience with personnel databases such as Applicant Tracking Systems (ATS). Demonstrated work experience developing policies and procedures guidelines for departmental compliance.Demonstrated work experience in training and development in a workplace setting.Experience working in a work environment that specializes in ensuring hiring practices are fair, equitable, and has objectives related to the missions and goals of the Affirmative Action and Equal Opportunity office within ADEI.Experience with training and development of staff of search processes and implicit bias.Ability to create detailed reports and presentations upon and as needed.
